Unprecedented flexibility in reservation policies… and “cancellation” enhances guests’ confidence

Managers in the hotel sector said that in light of the regional challenges and the accompanying disruptions in air traffic and the change in travel plans of tourists or customers wishing to spend domestic holidays, hotels have reformulated their operational policies, placing the flexibility of booking and cancellation at the top of their priorities and taking a different approach based on facilitation and quick response to the needs of guests.

They told Emirates Today that there is unprecedented flexibility in reservation policies, noting that procedures are implemented without any fees, even in cases that were previously classified as inflexible reservations, in addition to allowing accommodation dates to be modified in a completely flexible manner.

They emphasized that this policy enhances guests’ confidence, and prompts many of them to rebook in the future.

A paradigm shift

In detail, the CEO of Carlton Hotels, Hosni Abdel Hadi, said that the hotel sector in Dubai has witnessed a remarkable shift in reservation and cancellation policies, describing the current stage as “a qualitative shift towards unprecedented flexibility,” in light of the current regional conditions and their impact on travel movement and the plans of guests and guests.

Abdul Hadi added to Emirates Today that hotels in Dubai have adopted an approach based on complete facilitation for guests, noting that “reservation, cancellation, and rebooking policies have become more flexible today than ever before, as procedures are implemented without fees, in a step aimed at reducing the burdens on inmates and guests.”

He explained that these changes represent a clear departure from the traditional practices that were prevalent in the sector at the global level, noting: “Previously, hotels required a period of between 24 and 72 hours or more to obtain a free cancellation, but the picture has completely changed today, in response to the exceptional circumstances that the travel sector is going through.”

He said: “In Dubai, hospitality does not stop at check-in and check-out, but rather extends to be a true commitment to the guest, whatever the circumstances.”

Guest support

Abdul Hadi pointed out that the main goal of these policies is to support guests and help them overcome the challenges associated with changing plans, pointing out that hotels today place guest comfort at the top of their priorities, and what guests are currently experiencing in terms of cancellation or postponement of flights requires a flexible and quick response from the hotel sector.

He stressed: “We made sure that all options were available to guests, whether by amending reservations, rescheduling them, or canceling them without any additional costs or fees, in line with the nature of the stage,” indicating that the hotel sector was not limited to amending reservation policies, but went further by providing direct facilities to guests, including extending stays for free in some cases, in addition to providing additional free services.

He added: “We provide the utmost assistance to guests, including extending their stay for free when needed, in addition to daily support and assistance services, to ensure their comfort and stability during their stay.”

Abdul Hadi pointed out that these policies are not limited to addressing immediate challenges, but rather contribute to building a long-term relationship with guests, explaining that “the flexibility we offer today is directly reflected in the guests’ trust and loyalty.”

He said: “When the guest feels that the hotel or destination stands by his side during difficult times, this leaves a deep impact and enhances his desire to return again, as this trust is one of the most important assets of the tourism sector in Dubai.”

Guest confidence

For his part, the General Manager of the Al Habtoor Grand Hotel and Resort, Khaled Saeed, said, “The general trend was to gain guests’ trust under these circumstances and enhance their experience in Dubai. Therefore, we dealt with complete flexibility with various cases related to reservations during the current period, whether in terms of amending stay dates or receiving early departure requests, and all of this was done without imposing any additional fees on guests,” indicating that this policy came in direct response to the exceptional circumstances that affected the travel plans of many guests.

He added that the hotel sector in Dubai has proven its ability to adapt to various changes, thanks to the integrated efforts between government and private agencies, and the presence of a strong infrastructure that supports business continuity, stressing that “what we are witnessing today is a humanitarian model of hospitality par excellence, based on providing real support to guests, and not just providing service.”

Saeed also stressed that the priority at this stage was and still is to maintain guest satisfaction and reduce any burdens they may face, pointing out that flexibility in dealing is no longer just an operational option, but has become an essential part of the hotel business strategy in Dubai, enhancing its position as a reliable global destination.

He explained that these measures contributed and reflected a clear commitment to providing a hospitality experience that takes into account the guest’s needs in various circumstances, which reflects positively on loyalty and on the image of Dubai as a flexible tourist destination capable of adapting to changes.

Saeed said: “While challenges continue to affect travel globally, these flexible policies confirm that Dubai is able to maintain its tourism attractiveness, by providing an integrated hospitality experience that puts people at the heart of attention, and establishes its position as one of the most prominent global destinations.” He added that “it no longer makes sense to adhere to traditional reservation conditions under circumstances beyond the control of the guest in the event that he changes his vacation plans, or for tourists, such as canceling flights or closing airspace.”

Saeed continued: “We have activated policies that allow cancellation of reservations without fees, even in cases that were previously classified as inflexible reservations, in addition to allowing accommodation dates to be modified in a completely flexible way.”

Relieve pressure

In turn, the General Manager of the Tamani Marina Hotel, Walid Al-Awa, said, “Many guests had to change their plans at the last minute, so we canceled the amendment fees and provided multiple options for guests regardless of their circumstances.”

He explained: “We give guests the ability to stay after the departure time without complications, and the goal is to relieve pressure on travelers and give them enough time to re-arrange their appointments.”

Al-Awa added that hotel work teams were dealing with these cases immediately, in coordination with airlines and travel agents, to provide integrated solutions for guests.

He stressed that this policy enhances customers’ confidence and prompts many of them to rebook in the future, noting that this strategy has contributed to maintaining high levels of satisfaction, even under the current circumstances.

Al-Awa stated that “a guest who feels cared for and supported in times of crisis will certainly return and pass on his experience to others.” This is the real value that we are building on in the future.”

He pointed to the role of government agencies in supporting the hotel sector, by providing a flexible regulatory environment and coordinating efforts among the various stakeholders.

In the same context, General Manager of Time Oak Hotel & Suites, Soha Metwally, said, “An unprecedented level of flexibility has been provided in reservations, in response to changing travel patterns and the changing needs of guests. “With the availability of flexible booking options that allow for easy modification or cancellation, which gives guests comfort and reassurance when planning their stay,” Metwally explained that this flexibility supports seasonal offers and packages specifically designed to suit families and business travelers alike, which enhances guests’ confidence and supports the growth of direct bookings.


Dubai’s global status

Carlton Hotels CEO, Hosni Abdel Hadi, stressed that what the hotel sector is doing is consistent with Dubai’s position as a leading global destination in tourism and hospitality, stressing that maintaining this reputation requires flexibility and exceptional response in times of challenges.

He said, “Dubai is not just a tourist destination, but rather a global brand with an international reputation,” noting that “flexible reservation policies fall within this framework, as we all work to enhance the image of the emirate as a safe and reliable destination.” He added that this step was not an exception, but rather it was a general trend adopted by most hotels, driven by regulatory directives and a desire to maintain visitors’ confidence.
