The National Archives and Library organizes a course to enhance the efficiency of archiving government documents
Abu Dhabi, July 27 / WAM / / The National Archives and Library organized a virtual training course for employees of government agencies in the country, as part of its continuing efforts to develop the skills of archivists and raise their professional competencies, in a way that supports the implementation of the provisions of Federal Law No. (7) of 2008 regarding the Archives and the National Library and its executive regulations, and contributes to strengthening the document and archive management system in government agencies.
The course focused on qualifying specialists to prepare the technical tools adopted in document management, most notably the document preservation plan, which is one of the basic pillars of organizing documents throughout their life cycle and determining the duration of their retention at their various life stages.
The course discussed the mechanisms for implementing the plan in government agencies, starting from the stage of preserving documents in administrative offices, through depositing them in document preservation units in government agencies, all the way to determining their final fate, whether by permanent preservation as part of the national memory or destruction in accordance with approved procedures and controls.
The session stressed the importance of the document preservation plan as a technical and legal tool that allows tracking of documents since their creation, and regulates the processes of their preservation and disposal, ensuring effective management of documents and adherence to relevant legislative requirements.
During the session, Ahmed Mujib, an archiving expert, reviewed a number of specialized topics, including the document management system, and the challenges facing documents in modern work environments, in addition to explaining the concept of the document preservation plan, its objectives, importance, and mechanisms for preparing it. He also addressed the status of this plan within the executive regulations of the National Archives and Library Law.
The session touched on the plan for preserving common documents approved by federal government agencies, which was prepared by the Archives and the National Library with the aim of unifying the methodology for dealing with similar documents between government agencies, which contributes to controlling the processes of retaining and disposing of them according to unified principles and standards.
The training program explained that the joint document preservation plan enables government agencies to monitor the retention periods of documents they produce or receive based on their administrative, legal and historical value, and to determine their final fate, whether by transferring them for permanent preservation in the archives and the national library or destroying them in accordance with the approved legal procedures.
The course witnessed interaction from participants who stressed the importance of these training programs in enhancing their specialized knowledge and developing their professional capabilities in the field of document management and archiving, in keeping with the best practices and standards adopted in this field.
